Job Details
Responsible to: MIS Administration Manager/Corporate Services Director
Responsible for: General administration and data input in Response Maintenance Department
Working hours: 09:00 – 17:00 Mon to Fri
Location: Head Office, Magherafelt
Skills/Experience required for the role:
Essential:
  • Three years recent experience in a busy office environment
  • 5 GCSEs including English and Maths or equal and equivalent
  • Strong organisational skills and ability to multi task/prioritise work to meet deadlines
  • Good communicator with ability to receive instruction and relay information to colleagues/customers
  • Accuracy with ability of paying good attention to detail
  • Ability to work on own initiative
  • IT literate with working knowledge of Microsoft Products
  • A high level of accuracy in data input – an accuracy test may form part of the selection process
  • Enthusiastic about providing best possible customer service
Desirable: 
  • Experience of working within construction industry
  • Customer service experience
  • Data input experience
Job Summary:
Working as part of a team in a busy office delivering Response Maintenance Repairs contracts for the Northern Ireland Housing Executive, ensuring repair requests are carried out as requested by the client, within timescale and budget and to the customer’s satisfaction.
Key Tasks:
  • Be responsible for the administration for a specific contract area
  • Dealing with incoming calls/emails/written communications from customers/client
  • Liaising with NIHE district maintenance officers/administrators
  • Appointing jobs to site operatives
  • Liaising with CFM Management/supervisors/administrators/schedulers
  • Monitoring required completion dates
  • Maintaining planner ensuring completion dates are met or extensions requested
  • Keying completed jobs and updating system/data Input
  • Request and track confirmation orders for works completed
  • Dealing with queries/rejected jobs promptly/target date extensions
  • Data collection for monthly management meetings
  • Producing reports/KPI data
  • General administration all departments within the company
  • Any other Tasks as deemed necessary by Management
