Division: Response Maintenance – Omagh Depot
Job Details: 
Responsible to: Reporting to depot manager
Responsible for: Works scheduling co-ordination
Working hours: Permanent Full time position 9.00am – 5.00pm Monday to Thursday, 9.00am to 4.30pm Friday
Qualifications/Experience:
Essential
  • GCSE English and Maths or equivalent.
  • Good understanding of English written/verbally.
  • Good awareness of computing expected for use within office based role. (email, typing, database and excel)
  • Strong communicator with the ability to work as part of a team using own initiative.
  • 2 years recent experience in a busy office environment.

Desirable       
  • Background awareness of the construction industry focused towards housing maintenance.
  • Previous experience of scheduling/ logistics
  • Customer service/ relationship experience.
Job Summary:
CFM LTD are a facilities management/ building services company responsible for all trades building repairs and maintenance across NI
As part of the role of scheduler there are many critical responsibilities. Operating within a fast-paced environment, scheduling mainly involves scheduling or works orders, communication regarding Response and Planned building repairs in customer buildings by way of maintaining the flow of customer appointments. Good decision-making with accurate record keeping is needed to process orders effectively and efficiently to meet the demands of the companywide KPI goals.     Due to continued growth we require an administrator/scheduler to work in our Omagh depot.
Key Tasks:
  • Order intake/ assessment/ customer communication
  • Scheduling Customer appointments.
  • despatch of orders to various mobile trades via computer communication.
  • Frequent telephone and email liaison with mobile trades’ people/ various clients and other internal departments.
  • Complaint handling and resolution.
  • Maintaining standards and processes to reach KPI targets.
  • Responsible for works order intake/ logging and be the first point of contact to the customer representing CFM
  • Notify customers of Planned arrival of Trades Person/s
  • Liaise with administration team, supervisor and management to answer queries and review works in progress
  • Liaise and communicate with operatives onsite at set times to ensure appointments are being kept and tenants are informed of active changes or delays to appointments
  • Assist with general administration duties as may be required
  • To assist in administration duties as and when required
  • To be able to attend meetings & provide suggestion/reports.
  • PDA Management (Full Training will be provided)
