About the role:

The Contracts Manager will support the M&E Operations Manager in the service & delivery of maintenance & improvement contracts for the relevant area. They will have oversight & support the management of Sub-Contractors, Direct Labour, Stores, Supply Chain Partners, Planners & Administrators. 

Success in the role is to deliver all contract works in line with client KPI requirement and internal targets while ensuring staff understand their roles while providing adequate resources, organizing the work & closely monitoring to ensure works are being completed safely, on time, to specification, and within cost.

Managing the CFM and Client relationship is very important to the role, ensuring transparency and good channels of communication exist and are maintained.

Key Responsibilities

• To manage the KPIs in place with our clients daily using Huddles/dashboards with supply chain, Planners, and administration team monitoring & communication driver for achieving success daily and ultimately achieving month end targets.
• Driving H&S Compliance in all work practices & monitoring through H&S Inspections carried out via Site visits. Deliver required H&S review targets internally and externally. Requesting RAMS from Supply chain and issuing to Client.
• Recording corrective actions, NCR’s and improvements will be captured daily at the Daily Huddle with the Team and monitored through to completion.
• Ensure the team (inclusive of Supply chain) fully comply with all work processes using the IT systems and PDAs in place to manage the high volumes of work & ensure strong compliance across all workstreams.
• Applications management including Accuserv, C-View for contract management NTD for capturing hours worked, Accumobile for managing jobs, Teletrac for managing vehicles, SharePoint, IMS and any other software or system.
• Have an overview daily of the Planning & Scheduling of the work with the supply chain Teams, advising and coaching staff to ensure CFM operate as efficiently as possible with each contractor/ trade maximizing productivity.
• Coordinate and manage supply chain, hold progress and performance meetings ensuring supply chain delivery mirrors CFM’s
• Monitoring Job Numbers & Workflows ensuring adequate resource is in place to meet the Key Performance Indicators set by our clients. Contract manager will be responsible for implementing any corrective actions required to address performance slippage.
• Liaise with Client management on contract matters, responding to queries, complaints and preparation of KPI challenges, contractor reports, improvement plans and PLIC claims.
• Operational and commercial management of projects. This includes Preparation and submission of job costs in line with the contract Schedule of Rates, agreeing specification for works pre-start, closely monitoring project throughout to ensure project targets are achieved and procuring and managing cost of Subcontractor packages.
• Liaise with the Stores Personnel to ensure all Materials are available to keep work streams operating according to the Planned Schedules. Ensure communication of any materials shortages is highlighted promptly & communication with clients is clear and timely to manage expectations.
• Management of all KPIs relating to the contract with prompt daily Corrective Actions in place where necessary, using a flexible approach to problem solving to meet targets
• Assist with and champion Continuous Improvement and LEAN initiatives within the department by identifying more efficient ways of doing things.
• Attend client meetings representing CFM in the best possible light
• To perform the job in accordance with the company’s policies and procedures,
• To perform any other duties as may be reasonably required

Continuous Professional Development
Our Requirements: Essential Criteria
• Experienced in Facilities Management Industry
• Good written & verbal communication skills
• A valid UK Driver’s Licence

Desirable Criteria

• CSR Supervisor Card or NVQ equivalent
• Previous experience in a Leadership Role
• IT Skills & knowledge of Microsoft applications (Outlook, Word, Excel,)
• Previous experience in working on Housing Associations contracts
• Previous Experience working on heating maintenance contracts
• Knowledge of M&E Specialist systems.
