Job Title: Heating Services Administrator
Reporting to: M&E Project Manager
Location: Magherafelt

Role Overview:

Operating within a fast-paced environment this role will provide a high standard of administrative support within a heating service environment, ensuring repair requests are carried out efficiently and cost-effectively whilst delivering a first-class service to our customer.  This role will require teamwork and liaise closely with all stakeholders in the business and assist daily in managing targets and workflows effectively.

As Heating Services Administrator in CFM you will be responsible for:

• Dealing with incoming calls/emails from customers/clients.
• Triage/pass all requests, scheduling customer appointments and creating events for engineers to action
• Notifying customers on planned arrival of workers
• Review work reports and assess for follow up works or confirm completion for invoicing
• Schedule works, ensuring workload is spread evenly to optimise productivity
• Prepare weekly / monthly reports as required by Management
• Liaise with clients regarding planned works programmes and works orders
• Monitoring of target dates for jobs, tracking updates and job status
• Maintaining standards and processes to reach KPI targets
• To perform the job in accordance with the company’s policies and procedures, especially the Equal Opportunities and Dignity at Work Policy
• To perform any other duties as may be reasonably required

What you'll need to succeed:

• Strong administration skills and experience of working in a busy office environment,
• Proficient in Microsoft Office, particularly Outlook and Excel
• Excellent analytical and commercial skills, with the ability to assess relevance of information and prioritise workloads
• Experience of working in a similar servicing environment / industry with an understanding of contracting
• A friendly and professional attitude and approach to work, capable of developing relationships with key stakeholders
• An understanding of domestic heating systems and technical specifications is desirable
